The situation

Winning the client was never the problem.

Pitstop Branding & Hospitality Group manage social media for bars, restaurants and hospitality venues. They sign clients regularly — and every single one triggered the same sequence of manual work.

None of it is difficult. All of it takes time — and it sits between a client saying yes and the work actually starting, which delays the first payment.

What we built

One form. Everything else is automatic.

Onboard Pro replaces the whole sequence with a single branded form, filled in with the client during the meeting where they agree terms.

It's built around the tools Pitstop already used — Google Drive, Google Sheets, HubSpot, GoCardless and QuickBooks. Nothing was migrated and nobody had to learn new software.

Every step that touches money has a failure alert behind it. If something breaks, we know before the client does.

The result

Signed, paying and filed before they've left the meeting.

The first client went through the system live, during the handover call. From opening the form to a confirmed Direct Debit mandate took about five minutes. Pitstop then began moving their existing client base across — 65 accounts — one at a time.

Now every client Pitstop sign runs through the same path automatically — contract, Direct Debit, filing, CRM and monthly invoicing — with no admin left to do after the handshake.

Onboarding a client used to take about an hour of back-and-forth. Now it's roughly five minutes — from opening the form to a signed contract and a live Direct Debit. And the monthly grind that hurt most, chasing payments and raising invoices by hand, once around 30 hours a month, now runs itself.
